Getting started

What VirtualCFO does and how to begin.

What is VirtualCFO?

VirtualCFO makes GST tax invoices from the keyboard, in your browser. Fill in a few fields, preview the invoice and download a PDF.

Do I need an account?

No. Open the app and start an invoice. Your work stays in your browser. Sign in when you want your workspace to follow you across devices.

How can I sign in?

Four ways: email and password, a sign-in link sent to your email, your Google account, or no account at all. If you start without an account and sign in later, the same workspace carries over and nothing you made is lost. Sign-in runs on Firebase Authentication, a Google service.

What does the Free plan include?

3 members, 2 API keys and 30 documents a month.

Invoices and PDFs

Making, issuing and downloading GST tax invoices.

How do I use it without a mouse?

Every action has one fixed key, shown in the key rail beside each screen. A highlighted letter opens a menu item, Enter moves to the next field, Shift+Enter moves back and Esc goes up one level. Open the keyboard map from the help key for the full list. The same key does the same thing on every screen, and mouse and touch work too.

How is GST worked out?

Each line is rounded to whole paise, and CGST equals SGST on every line. When the buyer's state matches yours the tax splits into CGST and SGST. For any other state it is IGST. The total tax is the same either way. The invoice total rounds to the nearest rupee and the round-off shows on the invoice.

Why does my PDF say Bill of Supply, Invoice or Invoice-cum-Bill of Supply?

The title follows your tax status and the tax category of your lines. Choose the status under Seller on the invoice screen.

  • Regular: a Tax Invoice while every line is taxable. Zero rated lines (exports and supplies to an SEZ) count as taxable, because they charge GST at 0%. A Bill of Supply when every line is nil rated, exempt or non-GST. An Invoice-cum-Bill of Supply when the invoice mixes the two. CGST Rule 46A allows that for a buyer who is not registered. If your buyer has a GSTIN the invoice still issues, with a note that suggests a separate Tax Invoice and Bill of Supply.
  • Composition scheme: always a Bill of Supply (CGST Rule 49), with no GST charged.
  • Unregistered: a plain Invoice with no GST charged. It needs no GSTIN, HSN or SAC code.

A Bill of Supply and an invoice with no GST show an Amount column in place of the taxable value and the tax columns. The computer-generated line at the foot names the document. The figures do not change.

What are the tax categories on a line?

Each line has a category. Taxable charges GST at the rate you enter. Zero rated (export or SEZ) stays taxable at 0%, so it keeps the invoice a Tax Invoice. Nil rated or exempt and Non-GST lines carry no GST and need no rate. A new line starts as Taxable.

VirtualCFO checks the invoice against the rules for your tax status before it finalises it, and names what is missing. A regular seller needs the seller GSTIN, the HSN or SAC code and the rate on each taxable line, and the buyer's state, which sets the place of supply. A composition seller needs the GSTIN only. An unregistered seller needs none of these.

Can I set a unit for each line?

Yes. Each line has a Unit selector, which starts on "unit". Pick another, such as kilogram or litre, and the PDF prints its name. On an Indian invoice it also prints the unit code (UQC) that GST returns use, so "unit" prints NOS.

When does an invoice get its number?

When you finalise it. A draft has no number, so numbers never skip. A finalised invoice is locked. Credit notes for corrections are on the roadmap.

How do I change the columns, title or footer of my invoice?

Open Preferences, then Invoice layout. The preview beside the form shows the result with sample lines.

  • Columns: tick the columns the printed invoice shows, rename them, and move them with the Up and Down buttons or by dragging a row. Hiding a column only changes the print. The editor still asks for the figure, and a note reminds you when the law asks for it on a tax invoice.
  • Add a column: choose a name and a type (text, number or money). With no formula it becomes an input on every line. With a formula, such as qty * price, VirtualCFO works it out on every line. Name another column of yours in braces, as {Column name}. Mark a column private to fill it in or see it in the editor without printing it.
  • Extra heading fields: add fields such as PO no. or Vehicle no. They print beside the date.
  • Document title and footer: write your own wording for Tax Invoice, Bill of Supply, Invoice-cum-Bill of Supply and Invoice. VirtualCFO still picks which one applies. Edit the footer line, or switch it off.

A formula or name the invoice cannot use is shown beside it and stops Save. Reset to default removes your layout. The layout applies to new and draft invoices. An invoice you have issued keeps the layout it was issued with.

The layout stays in this browser. Export all on the Invoices screen includes it, and Import takes it into a browser that has none.

Where are my invoices stored?

In your browser, on the device you used. We do not receive them. Clearing your browser data removes them, so choose Export all on the Invoices screen to save a backup file, and download the PDFs you need. Saving to your own Google Drive is planned.

How do I back up my invoices or move them to another device?

Open Invoices. Choose Export all to save every draft and issued invoice in one .vcfo.json file, or Export on a row to save that invoice alone. In the other browser or on the other device, open Invoices, choose Import and pick the file.

Import checks each invoice before it adds it. A file changed after it was saved is refused. An invoice already in that browser, or one whose number another invoice there already has, is skipped and left as it is. Numbering continues after the highest imported number, so a number is never used twice. A summary lists what was imported and what was skipped, with the reason.

Export and import happen on your device. VirtualCFO does not receive the file. Keep it somewhere safe, because it holds your invoices in readable form.

How do I get a PDF?

Open Preview and choose Download PDF. The PDF is made on your device. If your browser cannot do that, VirtualCFO opens the print dialog so you can save the page as a PDF. If the invoice lacks something the PDF needs, such as the buyer state that sets the place of supply, VirtualCFO names the missing field and makes no PDF until you fill it in. The foot of the page carries the line "This is a computer-generated invoice." Turn it off with the computer-generated option if you do not want it.

What do you track?

Nothing is sent to Google Analytics until you accept it in the cookie banner. Events never carry names, amounts or invoice contents. Read the privacy policy and the cookie policy, and change your choice any time from Preferences.

How do I reach support?

CA directory

Find chartered accountant firms and members by city, name or pincode.

How do I find a chartered accountant near me?

Open the CA directory and choose Use my location in the search box. Your browser asks for permission. The firms with an office closest to you appear nearest first, each with its distance. Pick 2 km, 5 km, 10 km to widen or narrow the search. It starts at 5 km.

The distance runs from you to the middle of the pincode of the firm's office, not to its door. You can also type a six-digit pincode in the search box to list the firms in it. If you refuse the permission, search by name, city or pincode instead.

Can I narrow the results by type of practice or team size?

Yes. Under the search box, choose a practice type (Proprietorship, Firm or LLP) and a team size (1 CA, 2 to 5 or 6 or more partners). Select a choice again to clear it. The results change at once, and the choice stays in the page address so you can share the link.

What are the area pages?

A pincode with at least three listed firms has an area page, such as "Chartered accountants in Kothrud, Pune (411038)". It lists the firms with an office in that pincode, A to Z, and links to the city page and to areas close by. Each city page lists its areas. The area name comes from the India Post office that serves the pincode.

How does the directory use my location?

Only when you choose Use my location. Your browser works out where you are and asks first. The coordinates are rounded to two decimal places, about one kilometre, and sent with that one search so the firms can be sorted by distance. They are not stored, not linked to you, and not used for anything else. Refusing the permission changes nothing else in the directory.

What does the directory show?

Each profile shows what ICAI publishes in its ICAI List of Firms as on 01-Apr-2026: the firm name, firm registration number, firm type, office addresses, and the partners with their membership numbers. A member page lists the firms that member belongs to.

The directory holds no phone numbers or email addresses. Where a firm's Google Maps place is linked, the profile shows a map, and the map can show the contact details Google holds.

Where does the directory data come from?

From the ICAI List of Firms, which ICAI publishes once a year. VirtualCFO loads each new list when it appears and shows the date of the list on every profile. VirtualCFO is not run or endorsed by ICAI, and a profile does not confirm that a firm is in good standing today.

A detail on my profile is wrong. How do I fix it?

The details are ICAI's. Ask ICAI to correct its list, and the next yearly load carries the correction. If a page shows something different from the ICAI list, write to support@virtualcfo.app with the page address.

How do I claim, hide or remove my profile?

Open your profile and choose Claim this profile, Hide it or Remove it under "Is this you?". Fill in the short form and send it.

  • Claim marks the profile as yours.
  • Hide takes the profile out of search, city pages and sitemaps. You can ask for it back.
  • Remove takes the profile out of the directory. The removal stays in place when a new ICAI list loads.

We record the request and write to the email address you gave before we change anything.

Still stuck?

Write to support@virtualcfo.app with the link or screen you are looking at. A screenshot helps.
